Participant guide
Avlblty helps a group find the meeting time that works for the most people. As a participant you mark which proposed time slots suit you; the organizer then picks the winning slot.
Joining an event
- The organizer sends you an invite link and an event code (sometimes one link with the code built in).
- Open the link and enter your name, email address and the event code. If you only received a code, go to the start page and enter it there.
- Always use the same email address. It is how the event recognizes you — it lets you come back later, from any device, to change your answer or see the result.
Some events are limited to an invite list. If you see "not on the list", make sure you typed the email address your invitation was sent to, or ask the organizer to add you.
Picking your slots
- Answer Yes for every slot that works for you, or Maybe for slots you could make work if needed — the more options you give, the easier scheduling gets. A slot can be a single hour or span several days (for example vacation options).
- Each slot shows how many people answered yes (and maybe); the current leader is tagged most popular. If you are flexible, joining the popular slot helps the group settle faster.
- Signups are anonymous to other participants — you see how many people picked each slot, but only the organizer sees names.
- Some events are bookings rather than polls: you may be limited to a set number of slots, and slots marked taken are already claimed by someone else. To move to a different slot, just untick yours, pick a new open one, and save — your old slot frees up.
- All times are shown in your own time zone (detected automatically — change it with the "Times shown in" dropdown).
Changing your answer
After saving you receive a confirmation email listing your picks, with a link straight back to the event. Log in again with the same email, adjust your ticks and save. You can do this until the signup deadline shown on the page, or until the organizer closes the event — whichever comes first.
After the event closes
- The organizer picks the final time; the page shows it prominently.
- If you marked the chosen slot as available, the meeting link appears for you after logging in with your email.
- If the chosen time was not one you picked, contact the organizer if you can make it after all.
- Once the signup deadline passes, the event code stops working entirely — the organizer will send final details by email.
Sharing a device
Use the "Not you? Switch person" link at the top of the event page so the next person can log in with their own name and email.
